At Star Sport Academies, we are dedicated to providing high-quality coaching in every session. We understand that life happens, and absences are sometimes unavoidable. The following policy outlines how we handle make-up classes and class freezes, so you always know what to expect.

1. Make-Up Class Deadline

Make-up classes must be completed within the same term. They cannot be carried forward to a future term, so we encourage families to schedule them promptly.

2. Medical Absences

Make-up classes are approved for illness-related absences only. To be eligible, a valid medical certificate must be submitted using the academy’s designated form. We kindly ask that this be provided as soon as possible to facilitate scheduling.

3. Alternative Session Availability

Make-up sessions are offered based on available capacity and may be scheduled at a different time or location from your child’s regular class. We will do our best to find a convenient option for your family.

4. Approval of Make-Up Sessions

All make-up class requests are subject to approval and depend on class availability. Submitting a request does not guarantee an immediate slot, but our team will work with you to find a suitable arrangement.

5. Public Holidays, Weather & Force Majeure

Classes cancelled due to circumstances beyond the academy’s control — including public holidays, adverse weather conditions (rain, extreme heat, or storms), natural disasters, travel restrictions, government regulations, or any other unforeseen events — are classified as Force Majeure.

Under these conditions: Make-up classes will not be provided. No refunds, credits, or transfers will be issued.

We appreciate your understanding, as these situations do not reduce the academy’s fixed operational commitments, including venue and staffing costs.

6. Freeze Policy

  • Each student is entitled to a maximum of two freeze requests per academic year.
  • Freeze requests must be approved in advance.
  • In the case of a medical situation, requests may be submitted on the same day or the following day, accompanied by the relevant supporting documentation.

7. How to Submit a Make-Up or Freeze Request

To ensure your request is processed smoothly, please follow these steps:

  1. Step 1: Notify us promptly — Inform the academy of your child’s absence as soon as possible, ideally before the missed session or on the same day.
  2. Step 2: Complete the designated form — Fill in the academy’s official Make-Up Class or Freeze Request form, available from the App.
  3. Step 3: Attach supporting documents — For medical absences, include a valid medical certificate. For Travel, include a valid Air ticket.
  4. Step 4: Await confirmation — Our team will review your request and confirm approval along with available slot options within the next business days.
  5. Step 5: Attend the make-up session — Once confirmed, ensure your child attends the scheduled make-up class within the current term.

8. Late Cancellation & No-Show Policy

We kindly ask that all families respect the scheduling process to ensure fairness for all students.

  • Late cancellations — If you need to cancel a confirmed make-up session, please notify us at least 24 hours in advance. Failure to do so may result in the make-up class being forfeited.
  • No-shows — If a student does not attend their scheduled make-up session without prior notice, the session will be considered used and will not be rescheduled.
  • Repeated late cancellations may affect eligibility for future make-up class approvals.
